1. Who we are and what this covers

dEX Ghana Foundation is the data controller responsible for personal data collected through DDC26 registration, the conference website (conference.dexghana.org), on-site activities, and related communications. This Privacy Policy explains what we collect, why, how we use and share it, how long we keep it, and your rights under the Data Protection Act, 2012 (Act 843) of Ghana.

2. Information we collect

The relevant date is the date we receive your written refund request, not the date you purchased.

Registration and identity data — name, email, phone number, organisation, role/job title, student status, and country.

Transaction data — pass type, order details, and payment confirmation. Card and mobile-money details are processed by our payment provider; we do not store full payment-card numbers.

Preferences and accessibility data — session interests, dietary requirements, and accessibility needs you choose to share (which may include health-related information you provide voluntarily so we can support you).

Media — photographs, video and audio recordings captured at the event in which you may appear.

Technical and usage data — IP address, device and browser information, and website analytics collected via cookies and similar technologies.

Communications — messages you send us and your contact and marketing preferences.

3. How we collect it

We collect data directly from you when you register, buy a pass, complete forms or contact us; automatically through our website and analytics tools; and from third parties such as our ticketing and payment providers, and group coordinators who register attendees on your behalf.

5. Sharing your information

We do not sell your personal data. We share it only as needed:

Service providers (processors) — payment, ticketing, email, hosting, analytics and event-management providers who act on our instructions under data-protection terms.

Partners and sponsors — only with your explicit, opt-in consent (for example if you choose to share your details at a sponsor activation or opt in to a partner list). We do not pass your contact details to sponsors by default.

Venue and authorities — where necessary for safety, security or to comply with the law.

Professional advisers and successors — auditors, advisers, or in connection with a reorganisation, where bound by confidentiality.

6. International transfers

Some of our service providers process data outside Ghana. Where data is transferred internationally, we take reasonable steps to ensure it is protected by appropriate safeguards and handled consistently with Act 843.

7. Cookies and analytics

Our website uses cookies and similar technologies to operate the site, remember your preferences, and understand usage so we can improve it. You can control cookies through your browser settings; disabling some cookies may affect site functionality. Where required, we ask for your consent to non-essential cookies.

8. How long we keep it

We keep personal data only for as long as necessary for the purposes above: registration and transaction records for the period required by accounting and tax law; marketing data until you opt out; and analytics and event media for our archival and reporting purposes. We then delete or anonymise it.

9. How we protect it

We use appropriate technical and organisational measures to protect your data against loss, misuse and unauthorised access, and we require our service providers to do the same. No system is completely secure, but we take security seriously and will notify you and the Data Protection Commission of a qualifying breach as required by law.

10. Your rights

Under Act 843 you have the right to:

access the personal data we hold about you;

ask us to correct inaccurate or incomplete data;

ask us to delete or stop processing your data in certain circumstances;

withdraw consent at any time (without affecting prior processing);

object to direct marketing and to automated decision-making; and

complain to the Data Protection Commission of Ghana.

11. Children and students

Student passes are open to JHS, SHS and University students, who may be under 18. Where we knowingly collect data from a minor, we require parent or guardian consent and limit collection to what is necessary to allow safe participation. Parents or guardians may contact us to access or remove their child’s data.

12. Marketing

We send marketing and community updates only with your consent. Every marketing message includes an unsubscribe option, and you can opt out at any time by contacting hello@dexghana.org. Opting out of marketing does not stop essential messages about a pass you hold.

13. Third-party links

Our website and communications may link to third-party sites and services with their own privacy practices. We are not responsible for those practices and encourage you to review their policies.
